From the late ‘90s, IT has been pushed to deliver operational excellence for the workspace. Workspace environments needed to be highly standardized and highly efficient. The employee experience came second. Many of the skills, tools, and processes used today are still based on 20-year-old, PC-based technology. A new approach is needed to make a digital workspace strategy successful. A digital workspace solution starts with the employees and needs to be user centric:

A successful Digital Workspace is built on the foundation of five pillars:

1. Putting Employee Experience First

If the business thinks that IT gets in the way and slows them down, employees will avoid adopting the tools and services designed to protect them. IT must put itself in a position to design and deliver the productivity experience which employees are already using outside of the business.
Think about how simple, though very secure, it is to manage your private financial services. The context of employees in quite often changing or adapting to what they are doing or how they are doing something. They are using different types of devices, from different locations, and will possibly introduce even more different conditions in the future. It’s important for IT to facilitate and keep up with the demand of employees and departments. In many cases, this takes a shift in skills and culture, but it represents growth opportunities across IT.

2. Delivery of Applications – Anytime, Anywhere

“Any application, anytime, anywhere” is a neat marketing message but has turned out to be quite challenging to actually deliver. Sure, distributing the latest mobile app on an Android or Apple device is easy, but what about that 12-year-old Windows app, or the internally developed Java-based apps that no longer have an internal owner, or the old Excel app with macros that don’t work in recent versions of the application. And how are we going to deal with web apps delivered internally through complex and ever-changing VPN tools, or SaaS apps accessible from anywhere, but with passwords no one can remember? The bottom line is: you can’t deliver an employee experience, if you can’t deliver all of the applications they need to get their job done. As soon as you begin to have an inconsistent user experience, where applications sometimes work normal (depending on device, location, connection, time of day, etc), employees will stop adopting IT’s services. A user experience must be consistent and adaptable to change to enable IT to become a true business partner.

3. Modern Device Management

The way we consume devices has changed. We used to order a device, install Windows on it, add it to the domain to have it secured and upgrade every couple of years. Upgrading was very time consuming and mostly went successful. In case of an issue, you needed help of a specialist. The same with installing applications or securing the device. 

When the Apple iPhone was introduced, the whole approach of device consumption and management has shifted. Continues delivery of device and application updates, secured intrinsically, and fully enabled for self-service have made this consumer-simple device management strategy a global standard. Not only smartphones, but also Windows 10 and macOS devices are fully enabled for Modern Management through so-called modern management APIs. Independent of the type of device an employee would like to use (corporate-ownded or employee-owned), the way of management is standardized, device and location independent, and consolidated into a single solution: VMware Workspace ONE Unified Endpoint Management (UEM).

4. Manage Experience and Security

IT can’t proactively drive successful experiences, if they can’t measure the adoption of these experiences. This is where insights come in. IT has never been in an ideal position to track the adoption and usage of applications across devices. You can run reports and try to look back through historical data, but these tend to be one-off efforts that look at the past with a hit-or-miss approach based on what information is available across disparate platforms. True insights from data are gained from the ability to spot patterns and trends, identify potential gaps in experience or security, and make recommendations for change.

5. Automate to Succeed at Any Scale

With more devices, more apps, and more threats, the digital workspace becomes increasingly complex. To handle the scale of a Digital Workspace, automation is critical, whether onboarding a new employee or device, deploying apps, serving up patches and updates, or automating remediation steps to assure an employee’s device is compliant with policy. These all must be achieved without generating tickets that require administrators or application owners to take manual actions. Automation assures that operational costs are minimized, and removes gaps that could result from inconsistently applying security policies or leaving devices in noncompliant states for too long.
